AJ Mitchel, Chair, Eugenia Volcheck, Linda Staz, Sofia Ferenburg, Ilya Gnorovsky and several owners assisting.

Topics approached:

  • Expenses with the refurbishing of the Gym considered high by some Committee Members. Impact windows and impact doors installed may have contributed to cost.
  • Committee considered advisable the acquisition of new air conditioning compressors and accessories on both towers. The source of funds for this was not identified.
  • Water bills in the high end. One reason may be the several tests conducted on the West Pool. In order to alleviate the Maintenance Budget some of this cost with water could be charged to the Capital Budget since the constant refilling of the West Pool is a consequence on the work being there performed in addition to the tests conducted in the entire deck to assure the absence of leaks in the waterproofing work.
  • Andy will investigate the source of the authorization of the Balcony Edges Repair being executed by RTI. The estimated cost is around eighty thousand dollars. Thirty three balcony edges are being repaired as a result of a City of Hollywood building code violation ticket awarded to the Aquarius Condominium. This work is not part of the structural rebuilding of balconies recommend by the physical inspection conducted June and July 2014.
  • Ilya G. recommends the hiring of a professional management company for the day-to-day maintenance work and supervision of major renovation contracts. Some members of the Committee believe it would be difficult to come with funds to cover the overhead a Professional Building Management firm would charge.
  • Some members recommended a complete investigation of past administration. They offer the argument that there are many charges, bank transferences and other items hard to understand. The Finance Committee should work on these open questions. This recommendation, on the view of the Committee Chair AJ Mitchel and others, is not in the scope of the Finance Committee mandate. AJ Mitchel and others recommend the creation of another Committee for this specific purpose in order to allow the Finance Committee work inside the scope determined by the new Board of Directors. Investigation of past administration according AJ and others would be a distraction of the work cut to this Finance Committee.

Aquarius Lobby

The opening of the prioritized Aquarius lobby is scheduled for the month of April 2015.  We now have signed a contract with Plans & Permits of Sunrise, Florida to manufacture architectural drawings which will delineate the areas to be reconstructed in the Lobby, Cascade room, Green room and the Lobby ADA bathrooms. The cost for the drawings is $3500.00.

Once these drawing are completed, in about a week or two, we then can contact at least three vendors for quotes to reconstruct the Lobby area per the drawings.  These quotes will be reviewed by the Board and a vendor selected to work on the Lobby areas.

We now are in possession of architectural drawing for the soffit of the Valet area.  The drawings have been distributed to three vendors for quotations to reconstruct this area. We should receive these quotations in about two weeks. The quotes will be evaluated and a vendor selected.

West Pool Deck

The pool on the West deck has been filled two times and each time a leak has occurred.  The bottom of the pool has been completely reconstructed. The pool stucco on the sides of the pool has been removed since the leaks have occurred through the sides and additional concrete restoration is now in the works.  Since the pool walls need more restoration the pool will be shored to assure the integrity of the walls will not move during the concrete restoration. Additional parking spaces will be occupied by the shoring posts in the garage to facilitate the shoring. The shoring will be for duration of three weeks so the new concrete can cure and strengthen. As soon as the pool is ready, Reliable Pool will start working on the finishing of the West deck pool.  This will include waterproofing, tiling, and installation of the salt water pool equipment. This project should take a month to complete.

The restrooms on the West pool deck will commence to be built starting the week of February 16th.  The contractor for the restrooms is RTI. The curb foundation for the restrooms has been poured by CSI to allow expedited waterproofing of the West pool deck near the pool.

During the week of February 2nd the paver contractor, Hollywood Stone will start to transport sand and pavers on the West pool deck.  This contractor will be working on the West pool deck for the duration of three to four weeks.

Pool Canopy

The canopy vendor, Miami Awning has prepared drawings of the canopy placement on the West pool deck. The location will be adjacent to the restrooms on the South side of the West pool deck. CSI will locate and install the six leg foundations in the pool deck slab.  This will enable the canopy to withstand 90 mph winds.  Hurricane force winds will require the canopy to be removed and the legs will withstand Category 5 winds.

New Assessment in the Horizon

We need additional funds besides the existing assessment to complete the West pool project and the Valet area. To fund the above projects a forthcoming additional Special Assessment will be determined once the vendors submit their quotations for the requested work.  This proposed assessment will then be sent to each Unit owner and the specified amount required to be supported by each owner.  This notice will require a 14 day notice and a Board meeting to approve the assessment.  Once the assessment is approved, each Unit owner will then have three months to pay for the proposed assessment.

Aquarius Maintenance Depart at your service

Our Aquarius Maintenance department can do in house maintenance on various projects that may be needed in unit owner’s apartments.  These can include but not limited to installation of water saver toilets, faucets, clean and paint exterior doors, pressure washing balconies, etc. The cost for this work by Maintenance is $18.00/ half hour and if two men are required then the cost would be $36.00/ half hour.  If the job is too extensive for our Maintenance department, they can recommend vendors that are trustworthy.

Membership of the Committee could be extended if more volunteers express desire to participate.

Purpose of the Committee:

  • Advise the Condo Association on matters of Information and Technology
  • Facilitate the communication between the Board-of-Directors (the Board), Management, and the Unit Owners
  • Take action to support the information flow
  • Select and enhance the use of the Communication channels available to the Community
  • Provide support to the day-to-day Communications activities
  • Provide the Board, Management, Unit owners with alternatives to service providers, hardware and software that can improve the Communications and Technology use within the Condo.
  • Provide alternatives and innovation suggestions for the use of Technology at the Condo.

The priority task of the Committee is to provide to the Board recommendations and help on creation and dissemination of documents from the Board to the Association Owners. The following means shall be supported:

  • Announcement Boards
  • Website / eMail
  • TV Channel 93
  • Emergency public Radio announcements.
  • Up to date List of Unit Owners with necessary details
  • Suggestion Boxes in North and South Buildings

 

Among Technology issues to be addressed are:

  • Designated WiFi areas for public use
  • Remote controls of A/C units in the public areas (recommendations to the Management)
  • Business telephones for the Office and Security use

Information Flow

The Committee shall work with the Board to restore periodic and systematic creation and dissemination of the following documents:

  • approved minutes of the Board meetings
  • quarterly and yearly financial reports for the Association
  • monthly project updates
  • monthly maintenance updates.

These documents, once released by the Board Secretary or the Office Manager,  shall be produced in the agreed format and posted on the Announcement Board by the office Assistant(s). Also, the document(s) shall be eMailed to the Website Administrator(s) for making them available via the website.

The Aquarius Condo website supports the document access in two ways:

  1. On-line, upon Log-in to the website by a registered owner, and/or
  2. From the registered owner’s personal eMail, to where each document is forwarded via the website eMail bulletin.

The website administration shall device and provide means for archiving the documents that are over one year old, in order to free the display and storage space of the  Aquarius Condo website.

Other Website Usage

There are many features available on the commercial website core; their enabling and usage require customization and arrangements. Examples of such features are:

  • Concierge announcements of USPS packages
  • Classified private advertisements
  • Payment of maintenance or assessment fees
  • Access to Address Book information searches
  • Exchange of Recipes between users
  • Reservations of Amenities (e.g. restaurant, or meeting room), etc…

Given the limited (around 50%) owners participation in the website registration, each implementation shall be preceded by careful analysis and understanding of the benefits of such implementation. This will become subject of the Committee planning after the first priority Information Flow is fully under way.

TV Channel 93

The equipment for preparing and translation of the TV information broadcast is available. It has been arranged, used and upgraded by Arkady Chase. However, the scope of the broadcast could vary significantly by content and length –

  • from simple announcements
  • to longer translation of the recorded Board meetings
  • to movies and entertainments.

To what degree we shall use the Ch93, requires further discussions and organizational arrangements.

Some other items for consideration by Committee

  • Review of the content items in the net site with the purpose of simplification, improved functionality, relevance ,content enrichment and streamlining the work flow.
  • Improve the information flow among the several stake holders in the community (Board, Committees, Management, Staff, Unit owners, dwellers, vendors, service providers, etc.)
  • Advise the Board on the modernization of controls for the building. Of immediate interest are swimming pools chemicals dispensations, temperature control, lightning. Also to be considered are automatic economizing devices for lightning and climate control throughout the buildings.
  • Study the potential of the adoption of the Internet of Things (IoT) in providing savings in the building operations.
  • Study the possibility of extending WIFI availability to the two pool decks in addition to the Lobby and Business Center availability.
  • Make available electronic survey tools such com for the Board, Committees.
